How to Chair a Meeting is a frequently asked question by many managers and employees. It is not surprising, because meeting and chairs go hand in hand. The chairmanship plays an important role in any event. The most essential element for chairmanship  professionalism. Without being professional, it is hard to be effective as a chair.

There are various roles that a Chair has to play: timekeeper, host, moderator, traffic cop and even the psychologist. In general the chairmanship serves the organizational needs of the organization, the attending audience and meeting goals. As a Chairperson you are responsible to: set the agenda, prepare the documents and minutes of the meeting, conduct the proceedings and make sure the meeting goes smoothly. As a member of the committee you have certain duties to fulfill. Here is how to Chair a Meeting.

First, one has to remember that the role of the chair is to facilitate the entire meeting by ensuring that order is maintained, that everyone understands the agenda, that the minutes of the meeting are carried out in accordance with the decisions reached and that there is no further delay. The Chairperson may make suggestions or decisions on how to carry out the meeting. He or she is also responsible to ensure that the proceedings follow the specified format or procedure.

The Chairperson plays an important role in determining the success of a meeting and thus is a key player in its success. He or she has to be fair and has to recognize the contributions of each participant. Chairmanship is related to the proper and smooth functioning of meetings. A Chairperson must ensure that decisions are made in a timely manner, take part in the discussions and give his or her opinions when required. He or she must also recognize those who are present and participate in the meetings.

It is the role of the Chairperson to ensure that the meeting participants are treated courteously and that everyone is free to ask questions or raise issues if they feel there is a need. He or she keeps an eye on the overall agenda and makes sure that all meeting participants are happy with the progress of the meeting. He or she keeps a track of the minutes of the meeting and informs the members or the committee about any developments. When an item on the agenda is not being dealt with, the Chairperson may ask the other members or the committee to deal with the item and get it resolved.

All board members are elected for a specific term. The Chairperson makes a decision every term on whether or not to seek re-election. If the Chairperson is not running for re-election, he or she resigns from their position and the new Board President is chosen. The Chairperson is expected to follow the decisions of the board members.

A meeting software provides the tools necessary for the Chairperson to make the most of his or her time and make the most of meeting minutes. Many Meeting Software applications are available free on the internet and it is the responsibility of the user to download the appropriate Meeting Minutes template. Then, he or she can update the meeting minutes of each meeting according to the agenda of the meeting. The Chairperson can also choose the date and time of presentation of each item on the agenda. The Chairperson makes the final decisions of proceedings after the Board President makes a decision.

The Chairperson plays a vital role in the success of any Corporation. He or she must be able to keep track of and facilitate the discussions. He or she should be well informed of all agenda items and must have a clear understanding of the meeting rules. Making timely decisions is a crucial part of being a good Chairperson. As long as the members understand the meeting rules and procedures, they will make good decisions in regards to how to Chair a Meeting.
